Management security and optimisation, improved service quality and processing times

Specialised in savings and insurance for more than 90 years, AFI ESCA is a pioneer in the industry with almost a century of experience. A member ofBurrus Group, AFI ESCA is an insurance company for the private sector, whose portfolio focuses on three product families: loan insurance, life insurance and funeral insurance. This dynamic national company with sights set on European reports revenues of € 173 million and employs 280 persons who work at the headquarters in Strasbourg, company offices in Lille and local branches in every region.By 2011, the volume of documents managed by the Lille office (with nearly a hundred employees) had reached huge, time-consuming proportions: policy holder records and insurance claims could be dozens of pages long. AFI ESCA therefore aimed to speed up and secure interdepartmental information transfer. To do so, the group management decided to take on board an electronic document management solution in order to automate workflows and digitise its voluminous archives.

Instant access to 4 million digitised pages

AFI ESCA opted for Numerial, who recommended the integration of the OnBase content management system. Overall, between incoming files and managing archive records, the team now has instant access to just over 4 million digitised pages.

The deployment of this project was a success, thanks to the rollout of a flanking change process including the presentation of DMS concepts, iterative validation of specifications, organisation of training and workshops, post-production support etc.

40% increase in productivity in the first week

Thanks to OnBase, more than four million pages have been digitised or 150,000 files, dozens of departments mobilised and a 40% increase in productivity reported from the first week of production. In view of the success of this first project, along with Numerial and OnBase, AFI ESCA has now rolled out an expenditure initiation system with workflow validation in order to pool management of the orders processed by the teams within the company.

Today, aside from reducing storage space and overheads, we see a significant improvement in the security of our documents and data. Furthermore, all the files can now be accessed by all users at the same time, ena¬bling us to increase productivity with cases processed in under 24h thanks to KOFAX and OnBase. Now, with OnBase, all kinds of data are processed – even for special cases – thanks to the highly advanced workflow of the OnBase solution.
